How does the agent trace the revision?

The example is the one on the Crolle homepage: fictional inputs and a calculated movement, not a live project. Each row is a link the agent follows in the same ERP record, rather than a question sent to another team.

The figure covers the quantity × rate difference only. Taxes, indirect costs, programme effects and commercial terms each need their own review, and the agent lists them as open rather than estimating them silently.

Why does a revision get lost between teams?

Because in a fragmented set-up each consequence lives in a different system. The drawing sits in a document system, the quantity in an estimating spreadsheet, the order in a procurement tool and the dates in a planning file. The connection between them is somebody's memory, and the first person to notice the revision is often the one who receives the invoice.

When the estimate stays connected to the budget, the orders and the programme, the trace is something a machine can follow. How a tender estimate becomes cost control covers that link, and one ERP or separate tools? covers where separate tools lose it.

Is the revision a variation to the client?

That depends on the contract and on who issued the revision. Under a FIDIC-style contract, a change instructed by the engineer is valued under the variation procedure, and the contract sets notice requirements and periods that a contractor misses at its own cost.

The agent is designed to surface what the commercial team needs to decide this: whether the revision came with an instruction, the clauses and dates that apply, and the evidence for the claim. Whether to notify, claim or absorb the change is a decision for the commercial team, never for the agent.

What does the agent stage, and what stays with people?

  • The agent stages the quantity change on the BOQ item, the draft cost movement, and the review requests to engineering, procurement and planning, each with the evidence attached.
  • People decide whether the revision is released, whether the rate still holds, whether to change an order, how the programme absorbs it and whether it is a variation.
  • An authorised person commits the budget change, and the audit trail records what was proposed, by whom it was decided and on what evidence.

The same governed agent handles the other workflows on the agent overview, under the controls on the security and AI governance page.

Common questions

How is the cost movement of a drawing revision calculated?

In the simplest case, the change in quantity is multiplied by the rate of the BOQ item. In the illustrative example, 180 m³ more structural concrete at SAR 450 per m³ gives SAR 81,000. Taxes, indirect costs, programme effects and commercial terms need their own review.

Does the agent update the budget when a drawing changes?

No. It stages the quantity change and the draft cost movement with the drawing, the BOQ item and the rate basis attached. The budget changes only when an authorised person reviews the package and commits it, and the decision is recorded in the audit trail.

Which teams does a drawing revision reach?

In the illustrative example the revision reaches engineering, to confirm the drawing and its release status; the quantity surveyor, for the BOQ quantity; procurement, for demand, orders and deliveries; planning, for the work sequence and dates; and the commercial manager, for the cost movement.

Can the agent tell whether a revision is a variation?

It can surface what the decision depends on: whether an instruction was issued, the contract clauses and notice dates that apply, and the evidence for a claim. Whether the revision is treated as a variation is a commercial decision that stays with the contractor's team.
